Privacy Policy
Last updated: 17 October 2026
This policy explains how personal data is handled on the MyBooking.ai platform: the website, user accounts, bookings, AI assistants connected to MyBooking.ai and messages exchanged through WhatsApp.
Administrator of personal data
The administrator (controller) of personal data is Abba Villa Host Central Warsaw sp. z o.o., ul. Wilcza 15/19, 00-538 Warszawa, Polska, KRS 0001002172, NIP 7011115006, REGON 523690729, the operator of the service named in the Terms.
Data we process
We process the data you give us when you create an account or use the platform (name, e-mail address, phone number, company details), booking data (dates, guests, prices and payment status), content you add (documents, messages, listings, job offers), data needed for invoices, and technical data such as IP address, browser and cookies.
Purposes and legal bases
We use the data to provide the services and perform the contract with you (Art. 6(1)(b) GDPR), to meet legal obligations, for example under accounting and tax law (Art. 6(1)(c) GDPR), for our legitimate interests such as security, fraud prevention, customer support and improving the service (Art. 6(1)(f) GDPR), and on the basis of your consent where we ask for it, for example for optional cookies (Art. 6(1)(a) GDPR). You can withdraw consent at any time.
We do not sell your data and we do not use it for advertising.
Recipients of data
Booking data is shared with the business you book with, which handles it as a separate administrator for its own services. Service providers process data on our behalf: hosting in the European Union, payments, e-mail delivery, telephony and AI services. When you connect an AI assistant to MyBooking.ai, the data the assistant reads or sends is also processed by the provider of that assistant under its own terms. Where a provider is located outside the European Economic Area, the transfer is based on a European Commission adequacy decision or on standard contractual clauses.
AI assistants and connectors
You can connect an AI assistant, such as Claude or ChatGPT, to your MyBooking.ai account. You sign in on MyBooking.ai and choose the permissions you grant. The assistant then sees only the data your account can see on the MyBooking.ai screens within those permissions, for example properties, bookings, job offers, listings, documents, e-mails and messages, and it can prepare changes. A change takes effect only after you approve it on MyBooking.ai, unless you have turned on automatic execution in your settings. Passwords and payment card numbers are never passed to the assistant.
We record every action an assistant prepares or performs (time, assistant, action and result) to show it to you and to protect your account; the record is kept while your account is active. You can see the connected assistants and disconnect any of them at any time on the Connected AIs page; disconnecting revokes its access immediately. Connected AIs
How long we keep it
Account data is kept while the account is active, booking and invoice data for the periods required by accounting and tax law, and other data as long as needed for the purpose for which it was collected or until you object.
5. Your Rights
You have the right to access your data, to have it corrected or deleted, to restrict or object to its processing, to data portability, and to withdraw consent at any time. You can also lodge a complaint with the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warszawa).
To exercise any of these rights, write to support@mybooking.ai.
Cookies
Cookies used on the website are described in the Cookie Policy. Cookie Policy
The WhatsApp Business channel of MyBooking.ai is run by MGai, RCS Antananarivo 2024 B 01602, 1er étage, Escalier B, Porte B104, Immeuble FEFILOHA ARO, 10101 Antananarivo, Madagascar, which handles WhatsApp messages on behalf of the administrator.
When you contact us on WhatsApp, we receive your phone number, the name shown on your WhatsApp profile, and the content of your messages, including any images or documents you send. If you have a booking with us, we also hold the data you provided when booking — name, contact details, dates of stay and payment status.
We use this data to answer your questions, manage your booking, send you practical information such as check-in reminders and access codes, and keep a record of our exchanges so that any member of our team can pick up a conversation where it was left.
Your messages are visible to the staff of the property you are dealing with. Technically, they also pass through Meta Platforms Ireland Ltd, which operates WhatsApp, and are stored on our servers hosted in the European Union.
Conversations are kept for as long as needed to handle your booking and any follow-up, and for the periods required by accounting and tax law where a transaction took place. Beyond that, they are deleted.
You can ask us what data we hold about you, have it corrected, ask for it to be deleted, or object to its use. You can also ask us to stop contacting you on WhatsApp — simply reply asking us to stop, and we will.
Messages sent through WhatsApp are also subject to WhatsApp's own privacy policy. We only send you automated messages that relate to a booking you made — reminders, access codes, payment notices. We never send promotional messages on WhatsApp without your consent.
